Logistics Coordinator Job Description

The Festival

The Gimli International Film Festival (GIFF) is a 5-day event that takes place in Gimli, Manitoba July 20 to 24 inclusive. It is widely recognized as Manitoba’s premier Film Festival, and the largest rural Film Festival in all of Canada. Screenings and events take place in various locations throughout the community, with the largest and most popular event, the famous Beach Screenings, drawing thousands of spectators over the course of its 5-night run.

RESPONSIBILITIES:

This Green Team Program funded position reports to the Operations Manager and works with the GIFF team to carry out a variety of initiatives, including:

  1. Working with the Operations Manager, the Logistics Coordinator will help to create and carry out the 2022 GIFF Logistics Plan:
    • Assisting in the management of physical spaces/venues
    • Assisting in setting up the logistical needs of the festival
    • Assist with the procurement of supplies and materials
    • Assist in managing the accommodations for staff and guests visiting
    • Any other tasks as required
  2. GIFF Shuttle Service:
    • Communication with shuttle drivers and other team members involved.
    • Track shuttle riders to ensure smooth and efficient usage of the shuttle service within its limitations.
    • Work with the Outreach Coordinator to arrange transportation requirements for the Young Filmmakers Program and GIFF Bursary Program participants.
  3. Signage:
    • Working with the Operations Manager and the Communications Coordinator, plan and facilitate the creation and placement of signage at all venues and festival spaces where needed.
  4. Environmental:
    • Assist with ensuring efficient and adequate waste and recycling management in all GIFF venues and spaces by the RM of Gimli
    • Assist with coordinating the cleaning and sanitation of all GIFF indoor spaces by volunteers
    • Assist with coordinating the cleaning and maintenance of GIFF outdoor spaces by volunteers
  5. Accommodations:
    • Assist with coordinating the accommodations of staff and guests of the festival, ensuring proper procedures and policies are in place for staff, managing arrangements with hotels/Airbnb hosts/etc., and ensuring that all staff and guests have the information they need for their stay.

QUALIFICATIONS:

  • Applicant must have a valid Social Insurance Number (SIN).
  • Applicant must have a driver’s license and be comfortable driving a truck or van.
  • Applicant must between the ages of 17 – 29.
  • Ability to work in Gimli on an as-needed basis leading up to the festival, full-time during the festival, and as-needed for the week after is required.
  • Must be available to work flexible hours including evenings or weekends during the festival
  • Must demonstrate the ability to take initiative, show good judgment, and carry out projects from beginning to end.
  • Must have the ability to execute strong problem-solving capacity
  • Very good communication skills (verbal and written).
  • Must be self-motivated and work effectively both independently and as part of a team.

EMPLOYMENT TERMS:

  • Seasonal Position – May 24th – July 29th (10 weeks)
  • Position is 5 days a week, 7 hours a day, 9am-5pm, with a one-hour unpaid lunch break, and two 15-minute paid breaks per day. Wage is $16.00/hr, 35 hrs/week.
  • Inclusive of vacation pay and all mandatory employee deductions.
  • Will be provided a $50/month allowance for cell phone and computer usage
  • Accommodations will be provided if the candidate does not live within 40 kms of Gimli.

Sponsorship & Hospitality Coordinator Job Description

SUMMARY

The Gimli International Film Festival’s Sponsorship & Hospitality Coordinator will work with the Executive Director to maintain sponsor relations, manage GIFF’s special events and facilitate the participation of attending sponsors, dignitaries, industry representatives and other VIP guests of the festival. The SHC is the lead coordinator of the Festival’s Opening Reception and Awards Reception. They are responsible for ensuring that all sponsors receive the proper recognition and sponsorship benefits as stated in their agreements. The position provides solid work experience in managing events as part of an arts festival, and experience working directly with major sponsors and funders.  This includes direct management of special events, working with government representatives, festival sponsors and volunteers, while gaining valuable career-based administrative and managerial work experience.

RESPONSIBILITIES:

This Canada Summer Jobs program funded position reports to the Executive Director and works with the GIFF team to carry out a variety of initiatives, including:

  • Review all Festival sponsorship contracts and create/execute an action plan to ensure each sponsor receives their sponsorship benefits including onsite signage, onsite presence, program ads, social media posts, Festival VIP passes and tickets, etc.
  • Working with the Executive Director and Communications Coordinator, lead sponsor relations during the festival and ensure all sponsors obligations are met according to their sponsorship agreements. This includes:
    1. Maintain a mailing list for all sponsors and other VIPs, and distribute invitations and accreditation materials as required
    2. Managing sponsor signage and branding at events
    3. Facilitating special sponsor activations and events
  • Plan and execute Opening Night Reception, Awards Reception and other hospitality events, with support and guidance from the Executive Director and Operations Manager, including booking all caterers and bartenders, managing a guest list for all events, managing a team of volunteers for events, and ensuring delivery and installation of all décor, A/V equipment and craft services for events
  • Assist the Volunteer Coordinator in the coordination of guest service/hospitality volunteers
  • Assist with coordinating  VIP guest appreciation / invitation letters
  • Work with Programming Coordinator and Special Projects Coordinator to identify visiting filmmaker guests and coordinate their schedules.
  • Assist with coordinating all out-of-town attending guests and determine specific needs (housing, transportation, translation services, etc.) in coordination with the Logistics Coordinator and the Programming Coordinator.
  • Communicate with all special guests, visiting filmmakers, and sponsor representatives in an efficient and timely manner.

QUALIFICATIONS:

  • Working towards or possessing a degree or diploma in event management, hospitality/recreation/tourism, communications/marketing or business/administrative management
  • Excellent organizational, writing, and verbal communication in English. Fluency in speaking and writing in an Official Language Minority is a definite asset
  • Experience and ability to multi-task, exhibit consistent follow-through and work independently
  • Proven strong organizational skills and attention to detail
  • Professional demeanor; outgoing and friendly personality, solid customer service skills
  • Proficient knowledge of Microsoft Word, Excel, and social media
  • Applicant must have a valid Social Insurance Number (SIN).
  • Applicant must be between the ages of 17 – 30 as per the Canada Summer Jobs Program criteria
  • Ability to work in Gimli in the days leading up to the festival and during the festival.
  • Must be available to work flexible hours including evenings or weekends.
  • Must demonstrate the ability to take initiative, show good judgment, and carry out projects from beginning to end.
  • Having a Driver’s license and access to a vehicle is an asset.
  • Ability to commute to Gimli, if not a resident of Gimli, is essential.
